ADMISSION POLICY

Zion Lutheran School admits students of any race, color, national and ethnic origin to all the rights, privileges, programs, and activities generally accorded or made available to students at the school. It does not discriminate on the basis of race, color, national and ethnic origin in administration of its educational policies, admissions policies, athletic and other school-administered programs.

ENROLLMENT POLICYZion Lutheran Corvallis

Zion Lutheran Church member families will be given first priority over non-members in enrollment. Members may be placed on a waiting list if either of the following conditions exist:

  1. A class has a full enrollment at the time of application.
  2. At re-enrollment time if a non-Zion family has been attending Zion Lutheran School and has re-enrolled, they may not be "bumped."

Zion member families and Non-Zion member families may be denied entrance into Zion Lutheran School if:

  1. The principal of Zion Lutheran School feels that the school will be unable to serve their child’s needs either academically or behaviorally.
  2. After making application for financial assistance a mutual agreement can not be reached.
  3. Payment of the prior year’s tuition is not paid in full prior to the first day of school.
  4. Payment of the registration fee is not paid in full prior to the first day of school.

FACTORS FOR ENROLLMENT:

  1. Academic -- Some students may need to be admitted with re-evaluation at the end of the first quarter. Zion School is not equipped to work with children whose academic disabilities are of a complex nature.
  2. Behavior -- Students with a continued history of behavior problems in other schools may not be admitted.
  3. Pre Kindergarten -- Children must be age 4 by Sept.1
  4. Kindergarten -- Children must be age 5 by Sept. 1
  5. First Grade -- Children must be age 6 by Sept.1
  6. It is required that children (ages 5-14) entering school for the first time in the State of Oregon have the "Certificate of Immunization Status"(pink sheet) completed by their doctor. Immunizations are required for polio, measles, Rubella, mumps, diphtheria, and tetanus. This certificate becomes a part of the child´s permanent school record.

LATE ENROLLMENTS

Enrollments during the last two months of the school year shall require a special review by the School Committee.

RE-ENROLLMENTS

  1. ZION STUDENTS
    Children of Zion Church from pre school through seventh grade will be automatically re-enrolled upon returning the re-enrollment form if they continue to meet the initial requirements for enrollment.
  2. OTHER STUDENTS
    Re-enrollment of all other students will be reviewed annually and notification of this action will be in written form. In making re-enrollment decisions, the School Committee may consider how faithfully parents are keeping their pledge to support the school.

The School Board Committee authorizes the principal to accept re-enrollments. However, at the discretion of the parent or the Principal, final approval for re-enrollment will revert to the School Board. Parents of those declined re-enrollment will be informed of the appeal process by the principal.

Re-enrollment will take place during the month of March

FINANCIAL PROCEDURES

  1. All families will begin payments in July. Families with students in Kindergarten Full-Time through grade 8 will be given the option of making their payments over a 10 or 12 month period. Families with children in pre-school and/or kindergarten half-day will make their payments over a 10 month period, unless there is an older student enrolled in grades 1-8.
  2. Registration fees for new students will be paid at the time application is made. If the student is not accepted, the registration fee will be returned. If the family declines to enroll after being accepted, the registration fee is not refundable.
  3. Should there be a waiting list at the time that the application is made, the registration fee will not become due until an enrollment opening is available.
  4. Staggering the payment of the registration fee will be allowed where more than one child is involved, if this is pre-arranged with the principal.
  5. Late enrollment registration fees are as follows:
    • Any time during quarter 1 and 2 --full payment
    • Any time during quarter 3 and 4 --50% of payment
    • The school office manager will be in charge of accepting and recording payments and registration fees from all families. All tuition payments will be made through the school office.
    • At the end of each school week, the collected money shall be tallied and properly recorded and a check written to the church for all tuition and registration and placed in the vault.
    • Statements will be mailed to all school families who have a balance due by the 15th of each month.
    • The principal should be notified when an account is two months delinquent. Payments are delinquent as of the 15th of the month.
    • Accounts which are 90 days past due will be turned over to the church council for Zion Lutheran Church members and Non-Zion families will be turned over to the School Board Committee. The family will not be eligible to continue attending Zion Lutheran School until their account is current, or arrangements have been made with the church council or school board committee. Written communication will be forwarded to the family informing them of the action begin take. The church council may also choose to have a council member meet with the Zion member family in person rather than send a written communication.
    • Names of Zion member families no longer eligible to continue attending Zion Lutheran School will be given to the Elders for spiritual guidance.
    • RE-ENROLLMENT: Half of the registration fee is due at the time of re-enrollment, the second half is due prior to the first day of school. Students will not be allowed to begin classes in September unless this fee has been paid, or appropriate arrangements have been made with the principal. The registration payment will be non-refundable.
    • Should a family choose to remove their child from Zion before the end of the year, pre-paid tuition will be forfeited unless that student can be replaced. A partial refund may be returned at the discretion of the church council/school board and principal.
    • All accounts are to be paid in full before a child enters the next school year unless special circumstances exist and special arrangements have been designated. Special cases will be reviewed by the church council or school board committee.

FINANCIAL ASSISTANCE POLICY

  1. A tuition assistance fund has been established to provide full or partial tuition for families with children in grades Kindergarten to 8 requesting aid.
  2. No financial aid is available for students entering pre-kindergarten.
  3. Two Zion Lutheran Church members of the school committee and the principal will have the responsibility of evaluating and administering financial assistance funds.
  4. Financial assistance is granted on the ability to pay. To assure this criteria is met, families are required to fill out an application for financial aid on a form provided by the school office.
  5. Amount of financial aid available will be determined each year by Zion Lutheran Church’s voting body, with two financial amounts being set. One fund will be for Zion members and one for non-Zion families.

STUDENT RECORDS

All student records maintained by the school will be made available for inspection if requested by the parent or legal guardian of the student. Behavioral records will be released only in the presence of a person qualified to interpret the records.

WITHDRAWAL OF STUDENT

Student progress records, including a copy of the permanent record, shall be forwarded to other elementary or secondary schools upon notice of enrolling of the student, provided that parents are notified of the records transferred, and a reasonable time is allowed for review of the records.

NOTICE TO PARENT OF RECORD TRANSFER

Should your child enroll in another school or school system, an official transcript or copy of the permanent record will be sent to the school upon our receipt of notification of the student´s enrollment. Prior to the withdrawal of your child from our school, you have a right to see your student´s records and to request a hearing to challenge the content of the record. Your request for a hearing must allow two days between the request and the hearing. You may receive a copy of the record to be transferred if you desire. Any hearing must be held prior to the actual withdrawal of your child.
